Inventory

One count. Held bottles stay held.

The tasting room and the shop sell from the same stock. Reserve bottles for an allocation or an order, and available means what you can still sell.

On hand, reserved, and available. By wine, by location, by the reason it is held.

01

On hand
Forty-eight of the 2022 Pinot are in the building. That is the number the cellar counted.

02

Reserved
Twelve are held for the autumn allocation. Six of the library Cabernet are held for a trade order.

03

Available
Thirty-six Pinot can still be sold at the door or online. The rest are spoken for.

Inventory

One count for every channel.

01

One number for the estate

The shop and the cellar door read the same stock. A case sold online is a case the till can no longer promise.

02

On hand, reserved, available

On hand is what you have. Reserved is what you have promised. Available is what a new sale can take. The three stay distinct.

03

Held for an allocation

Club shipments need bottles that survive a busy weekend. Reserve the quantity against the wine so the April cases are still in the racks.

04

Held for an order

A trade case, a phone order, or a cart that has been promised can reserve stock at a location, with a note for why it is held.

05

Locations

The tasting room and the cellar are different places. Stock levels follow the location, so the door sells what is at the door.

06

Vintage, SKU, and the item

Inventory is the bottle you mean: the item, the SKU, and how many are in stock or reserved. The product the guest sees is tied to that count.

01The hold

A reservation is a promise with a quantity.

Create a reservation against an item, at a location, for a quantity, with a description. Update it when the promise changes. Remove it when the wine has left or the hold is no longer real.

  • Quantity and location on every reservation.
  • A description, so the hold says allocation or order.
  • Release it when the shipment is fulfilled.

02The channels

The door and the shop cannot both sell the last case.

When stock is shared, a Saturday rush and a website running overnight are the same pile of bottles. Available updates for both. Reserved stock never appears as something you can add to a ticket or a bag.

  • Cellar door stock checked at the location you are selling from.
  • The product page shows the same availability.
  • Club holds come out before either channel oversells.
